This Privacy Policy explains how Scale Registry LLC ("Scale Registry," "we," "us," or "our") collects, uses, shares, and protects information in connection with ScaleRegistry, including the public directory at scaleregistry.com and the subscription platform at app.scaleregistry.com (together, the "Service").
This Policy is written for a business-to-business (B2B) software platform. It describes our practices with respect to the account holders, business representatives, and users who interact with the Service, and with the businesses, scales, and public directory records the Service maintains.
1. Scope
This Policy applies to information collected through the Service, including account registration, use of the Platform, and information submitted to or generated within the public directory. It does not apply to third-party sites we may link to.
2. Information We Collect
Account information. Name, business affiliation and role, email address, and authentication activity. We use passwordless "magic link" sign-in, so we do not collect or store passwords.
Business and scale records. Information submitted to operate the Platform, such as business profile details, registered scale identities, service and calibration records (which may include GPS location, timestamps, photos, and signatures captured as tamper-evident field evidence), NTEP and certificate information, and related compliance data.
Usage data. Information about how the Service is accessed and used, such as log data, device and browser information, IP address, pages viewed, and actions taken within the Platform.
Payment information. When you subscribe to a paid plan, payment details (such as card or bank account information) are collected and processed directly by our third-party, PCI-compliant payment gateway. Scale Registry does not receive or store your full card number or bank account number. We retain only a payment token and limited display details (such as card brand, last four digits, and expiration date) needed to manage your subscription and display them back to you.
Communications. Information you provide when you contact us for support, sales, or other inquiries.
3. How We Use Information
We use the information described above to:
- Provide, maintain, and improve the Service, including registering scales, generating certificates, and maintaining the public directory;
- Create and manage accounts, and authenticate sign-in via magic link;
- Process subscription billing, send receipts and invoices, and manage renewals, dunning, and account status;
- Send service communications (e.g., renewal reminders, payment notices, certificate/verification updates) and, where permitted, product or marketing updates;
- Monitor, secure, and troubleshoot the Service, and prevent fraud or misuse;
- Analyze aggregated or de-identified usage trends for product improvement and industry benchmarking;
- Comply with legal obligations and enforce our Terms of Service.
4. Cookies & Analytics
(details to be finalized in the counsel-reviewed revision) The Service may use essential cookies or similar technologies necessary for functionality such as sign-in sessions, and may use analytics tools to understand aggregate usage of the Service. Where we use non-essential cookies or analytics, we will describe them here and provide any consent or opt-out mechanism required by applicable law.
5. Third-Party Service Providers
We work with third-party service providers to operate the Service, including (without limitation):
- Payment processing: a third-party, PCI-compliant payment gateway, together with our merchant services provider, First American Merchant Solutions, to process card and ACH transactions. These providers receive payment details directly; we receive only tokens and limited display data.
- Email delivery: a transactional email provider used to send account, billing, and notification emails. (details to be finalized in the counsel-reviewed revision)
- Cloud hosting & infrastructure: third-party cloud infrastructure providers used to host the Service and store data on encrypted, enterprise-grade infrastructure. (details to be finalized in the counsel-reviewed revision)
These providers are authorized to use information we share with them only as needed to provide their services to us, consistent with this Policy.
6. How We Share Information
- Public directory listings. ScaleRegistry is a public transparency registry. Certain business, scale, and certificate information — such as business listings, NTEP licensing records, verification status, and compliance certificates a business chooses to publish — is publicly viewable on scaleregistry.com by design. Do not submit information to public-facing fields that you do not want publicly visible.
- Vendor neutrality. We do not sell directory placement or share information in a way that favors one manufacturer, dealer, or service provider over another; see our Terms of Service.
- Service providers. As described in Section 5, to operate the Service.
- Legal & safety. Where required to comply with law, legal process, or to protect the rights, property, or safety of Scale Registry, our users, or the public.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
- With your direction. Where you direct us to share information (for example, dealer-authorized access to manufacturer materials).
We do not sell personal information to third parties for their own advertising purposes.
7. Data Retention
We retain account, business, scale, and billing records for as long as needed to provide the Service, comply with legal and tax obligations, resolve disputes, and enforce our agreements. Public directory and certificate records may be retained to preserve the historical accuracy and integrity of the registry (for example, a scale's service history) even after an account becomes inactive, consistent with the Service's purpose as a system of record. 8. Security Measures
We maintain administrative, technical, and organizational safeguards designed to protect information handled by the Service, including hosting data on encrypted, enterprise-grade cloud infrastructure, tamper-evident (cryptographically hashed) field evidence records, and access controls for platform accounts. Payment card and bank details are handled through a PCI-compliant third-party gateway rather than stored on our own servers. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. (details to be finalized in the counsel-reviewed revision)
9. Your Rights & Choices
Depending on your location and role, you may have rights to access, correct, export, or request deletion of certain information associated with your account. You can update most account and business information directly in the Platform, or contact us using the details in Section 13. Because ScaleRegistry operates as a public registry, some information you have chosen to publish (e.g., a completed certificate or directory listing) may need to remain part of the historical public record even after account changes; we will work with you on the appropriate handling. You may also unsubscribe from non-essential marketing emails at any time using the link provided in those emails.
10. Children's Privacy
The Service is a business-to-business platform and is not directed to, and should not be used by, individuals under 18. We do not knowingly collect personal information from children.
11. International Users
The Service is designed for use by businesses operating in the United States, and the public directory currently covers U.S. jurisdictions. (details to be finalized in the counsel-reviewed revision)
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new effective date and, for material changes, provide additional notice (such as email or an in-Platform notice).
